Danby Annual Halloween Event Committee – Meeting Minutes
10/7/2018, 9AM – 10AM at 34 S. Main Street
Members: Present: Bob Tobin, Mary Webster, Shauna Dotson, Andrea Stoehr and Jessica Stone-Watson; Absent: Kristy Usher

Event is scheduled for October 28, 2018, 3:00PM to 5:00PM at Currier Memorial Elementary School

• Concept:
o Trick or trunk event where participants are encouraged to decorate cars and have candy to hand out to trick or treaters
o Hold event at school (Shauna to get approval from principal)
o Have several events (Jessica, Shauna and Andrea to coordinate):
 Awards for best decorated vehicles for adults (award will be gift cards)
 For trick or treaters, various awards including cutest, scariest, most creative, etc. costumes (awards will be treat bags)
 Have baked goods, hot cider, etc.
 Donuts on a string eating contest
 Guess numbers of candies in the jar to win the jar of candy
 Scary tent with various scary things (blind fold, reach into a bowl of eye balls (which are actually grapes)
o Event will be held, rain or shine
• Advertising:
o Shauna developed flyer
o Put flyer in students folders to take home to parents
o Also advertise in papers, post flyers throughout town, Front Porch and Face Book – do it weekly up to the event, starting this week
o Andrea drafting advertisement
o Bob to post on Front Porch; Shauna Face Book; Kristy to advertise in papers; Shauna to post throughout town
• Finances:
o $250 is the balance we have from the town-wide tag sale to use for this event; will be used for advertising and buying prizes
• Sign-in booth
o Folks participating will need to register day of event in order to win awards and prizes; Jessica will develop sign-in sheet
• Entertainment:
o Recorded music – Bob T. will provide (make sure it's scary though)
• Decorations:
o Pumpkins, other items to be discussed
• Other:
o Next year for town-wide tag sale, see if we can schedule it same time Wallingford and Tinmouth do it to have more of a regional event
o Make Halloween event a bigger deal next year when there is more time to plan it out, e.g., bringing back the parade
o Next meeting – none scheduled – will coordinate over EMAIL up to the event
